- Terms of payment
Payment during 2024
i. 25% deposit on confirmation to secure booking and activate return on investment (non‐refundable)
ii. Further 50% payable by 31 July 2024
iii. Balance 25% payable by 30 September 2024 - An invoice and sponsorship / exhibition confirmation document will be sent to you within 48 hours of receipt of Commitment Form.
- Selection of sponsorship / exhibitors on a first‐come, first‐served basis.
- The Commitment Form does not constitute a legal and / or contractual engagement. It only serves as an indication of intent to proceed with the chosen commitment.
- Sponsorship / exhibition however, is only confirmed on receipt of a signed invoice and payment of the 25% deposit.
- Failure to comply with the payment schedule could result in the forfeiture of your commitment, and any refund due outside of the 25% deposit will be at the discretion of the Conference Organising Committee.
- All sponsorship / exhibition contracts are final and cannot be retracted.
- Deposits are non‐refundable
- The Conference Organising Committee reserves the right to decline sponsorship / exhibition / advertising bookings.
- The law of South Africa governs this Agreement.
- The Conference Organising Committee reserves the right to amend the rules and regulations governing sponsorship / exhibition at its discretion.
- All exhibitors are to comply with the Exhibition Rules and Regulations as determined by the University of the Free State
- Cancellation after 30 September 2024 attracts a 100% penalty fees
Sponsorship/Exhibition Commitment form
To sign up for a package please complete the online form below or complete the form in the Information Brochure and send it to us by email. We will email an invoice for the indicated package when the form is received. Please return a signed copy of the invoice which includes a copy of the terms and conditions along with proof of payment of the deposit amount to secure the sponsorship/exhibitors package.
